Application for
a training position.
Early, complete, convincing.

Training positions are often allocated a year in advance. Anyone who applies in the fall has the best chance of starting the following September. The following applies to international applicants: the application and visa application run parallel – not one after the other.

Sept. Start of training
Oct.–Feb. Best time to apply
B2 German level recommended

Convince the company.
Then visa.

The training application must quickly show employers why the job, language and start date are realistic.

01 Clarity

Sharpen your application profile

CV, motivation and language level must match the job.

02 Risk

Mass application

Many applications without a target job seem weak and lead to rejections.

03 Next step

Build a company list

First prioritize suitable professions and companies, then apply properly.

Sort application

As on the homepage: first clarify the direction, then decide on the details.

Application route

Apply yourself or through an agency?

There are two ways to find a training place. Both can work - the right one depends on the job, the region and your own situation. Anyone applying from abroad should know both ways and use them in parallel.

01 Application route

Directly with the company or via an agency

Route A Β· Most common route

Apply directly to the training company

  • Apply directly to the company via email or online form
  • The contact person is the human resources department or the trainer
  • Positions are advertised on the company website, at the Federal Employment Agency or on training portals
  • Response times vary greatly – from a few days to several weeks
  • Applying early (fall) significantly increases your chances
Path B

Placement via the Federal Employment Agency

  • Free advice and job placement from the BA
  • Training job exchange at azubi.de / Arbeitagentur.de
  • Particularly helpful for lesser-known professions or regions
  • Advice also possible in English
  • Recommended as a supplement to direct application
Apprenticeships are not university places - there is no central application office. Each company decides for itself. Multiple parallel applications make sense and are common.
Phase 1 Β· Preparation

Oct – Dec

Research & initial applications Search for job offers, prepare documents, send initial applications. Early applicants have clear advantages.

For the next training year (start September)

Phase 2 Β· Main application phase

Jan – March

Interviews & Acceptances Conversations take place. If you don't have a contract by March, you should expand the search field - including other regions or professions.

At the same time: complete the language course, have your certificate translated

Phase 3 Β· Contract & Visa

March – June

Sign the training contract and apply for a visa The visa application can be submitted with the signed contract. Book an appointment at the consulate early.

Visa processing time: allow 2-6 months

Application documents

What goes into the application

The documents for an apprenticeship application are more compact than for a course of study – but complete, neat and in German They still have to be. A letter of motivation in German is a clear signal to the company.

02 documents

Complete application folder

Mandatory components of every application

  • Cover letter (letter of motivation) – in German, 1 page, formulated individually for the company
  • Curriculum vitae (table) – in German, complete, with photo (common in Germany)
  • school reports – Original and certified translation into German
  • German certificate – at least B1, recommended B2 (e.g. Goethe certificate, telc, Γ–SD)
  • Passport photo – professional, up-to-date

Useful additions

  • Evidence of internships or job references (if available)
  • Evidence of vocational training or relevant courses in your home country
  • Letters of reference from teachers or previous employers
  • Letter of motivation about the personal connection to the chosen profession
Certificates in Arabic, Russian, Farsi or other non-Latin languages must be translated into German by a sworn translator. This translation usually costs €50-120 per document and takes several weeks. Plan early.

Cover letter

The cover letter for international applicants

The cover letter is the first impression. It explains why this profession, why this company and why Germany. Anyone who answers these three questions will stand out.

03 Cover letter

Structure and typical errors

Structure of a good cover letter

SectionContentLength
EntryWhy exactly this company? Specifically, not generally2-3 sentences
MotivationWhy this job? What made you do this?3-4 sentences
SuitabilityRelevant experiences, school qualifications, language3-4 sentences
Foreign referenceWhy Germany? Show willingness to settle in2-3 sentences
GraduationInvitation to an interview, availability1-2 sentences

Common mistakes

  • Cover letters not tailored to the company – standard texts immediately stand out
  • Errors in German - have the text checked by a native speaker before sending
  • No connection to the profession - explain what is interesting about this particular training occupation
  • Too long – more than one page is rarely read in its entirety
  • Wrong salutation – if no name is known: β€œDear Sir or Madam”
Phrases like β€œI want to come to Germany” or β€œI’m looking for a better future” are out of place in a German cover letter. The focus is on the job – not on the immigration destination.

Interview

The conversation – what companies ask

Training interviews are not interrogations. Most companies want to know whether Reliability, interest and communication agree. Linguistic uncertainties are accepted – lack of preparation is not.

04 conversation

Preparation and typical questions

Typical questions in training interviews

  • Why do you want to train in this profession?
  • Why did you apply to our company?
  • What do you know about our company/our industry?
  • What are your strengths – and an honest weakness?
  • How good is your German? Do you have a certificate?
  • Do you have practical experience in this area?
  • Where do you see yourself in five years?
  • Are there still unanswered questions about the training company?

Information for international applicants

Some companies conduct the interview on video - this is particularly common for applicants from abroad. Test technology in advance. Choose a quiet, bright environment. Keep documents handy.

There is no problem with speaking more slowly or asking to repeat. What is important is that Interest and preparation are recognizable.

No company is allowed to ask about religious affiliation, family planning or pregnancy. Such questions do not need to be answered.

After the promise

Contract, visa, entry

The commitment is the beginning - not the goal. The visa process begins with the signed training contract. Both must be initiated in good time so that the start of training is not jeopardized.

05 After the promise

Next steps after the company says yes

Training visa

What to do immediately after the commitment

  • Check and sign the training contract – Read the start of training, duration, remuneration and probationary period carefully
  • Book an appointment at the German consulate or embassy – Waiting times can be 2-4 months
  • Compile visa documents – Contract, certificates, proof of language skills, proof of health insurance
  • Organize accommodation in Germany – The company or vocational school can provide recommendations
  • Prepare bank account – some banks allow you to open an account from abroad

Adhere to schedule

The training visa (Section 16a Residence Act) has an average processing time two to six months. If you want to start in September, you should apply for a visa no later than March or April put.

The company can be contacted by email until you enter the country - this shows commitment and helps to clarify practical questions (apartment, first day).

Anyone who has the training contract but does not get a visa or enters the country too late, risks the training place. Inform the company early on about your visa status – Most companies have experience with this and react cooperatively.
