Application route

Direct application or uni-assist?

There are two ways to apply to a German university. Which method applies is not generally stated - but rather on the website of the respective university. Always check there before preparing documents.

01 Application route

Two paths – one that’s right for you

Path A

Apply directly to the university

  • Apply directly via the university’s online portal
  • No pre-inspection fee
  • The university checks documents itself
  • Processing times vary greatly depending on the university
  • Applies to some universities – always check on the respective website
Path B Β· More common for international applicants

Application via uni-assist

  • uni-assist checks the documents in advance and issues a VPD
  • Fee: €75 for the first university, €15 for each additional university
  • Processing time: 6-10 weeks – submit early
  • VPD is then submitted to the university
  • Some universities only accept uni-assist applications
Do not submit documents twice. Anyone who applies both directly and via uni-assist risks confusion and rejection. Check the university's application process - then only use this one.

Official application deadline The summer semester offers fewer study places. Not all subjects and universities accept students in the summer semester.

The winter semester is the usual start for international applicants.

What the university requires

The documents are almost identical for direct applications and uni-assist applications. The difference: With uni-assist you are pre-checked centrally - if you apply directly, you are assessed directly by the university.

University application checklist

Mandatory documents – always required

  • Original school certificate plus certified translation into German
  • Language certificate – DSH, TestDaF, Goethe C1/C2 or equivalent proof for German study programs; IELTS/TOEFL for English
  • Completed application form the university or from uni-assist
  • Photograph (biometric, current)
  • Valid passport (copy)
  • CV in German, in tabular form

Depending on the university and course of study, additionally

  • Letter of motivation (Length and content depending on the requirements of the university)
  • Proof of university entrance qualification in the home country (where required)
  • Assessment test certificate (FSP) – if completed preparatory course
  • Letter of recommendation – for master’s programs and some bachelor’s programs
  • Proof of pre-internship – in engineering subjects
  • Proof of professional training or professional experience – in part-time programs
  • Portfolio – in art, design and architecture courses
Translations must come from a sworn translator. Online services are not accepted. Always pay attention to the swearing-in certificate in the document.

What a good letter of motivation contains

The letter of motivation is not self-congratulation. It answers three questions: Why this course? Why this university? What are you bringing with you?

Structure, content and common errors

What belongs in it

  • Specific reason for the choice of course of study - not a general interest, but a specific one
  • Connection to previous training or experience – what prepares you for this course of study
  • Why this university? – what differentiates you from others (research focus, program, professors)
  • Professional perspective – what do you want to do with it after you graduate?
  • German knowledge and preparation – how you prepared for studying in Germany

What doesn't belong

  • General statements like β€œI am very motivated” without evidence
  • Repetition of the CV in continuous text
  • Praise for the university without any specific reference
  • Private reasons for choosing Germany (weather, friends, culture)

Formal

Length: usually 1-2 pages (400-800 words), unless the university specifies otherwise. Language: always in the language of instruction of the course of study - i.e. German for German, English for English programs. Have it checked for grammar and style before submitting.

Letters of motivation that appear generic or do not address the specific course of study will be recognized. Universities read hundreds of applications every day. Specific, clearly structured writing stands out.

How the uni-assist application works

uni-assist is not an application – it is a preliminary examination. Only when uni-assist has checked the documents will the VPD be issued - and you then submit this VPD to the university.

uni-assist takes 6-10 weeks. Anyone who does not submit the documents until mid-June may not receive the VPD in time before the July 15th deadline. Submit documents as early as possible – at least 8 weeks before the application deadline.

What the VPD is

The preliminary examination documentation (VPD) is the result of the uni-assist examination. It confirms that the submitted documents are complete and formally correct, and contains an assessment of eligibility for admission. The VPD does not replace admission - it is a prerequisite for university applications.

Approval, rejection and next steps

Apply for a visa

Received approval

The university sends the acceptance letter by post or email. With admission comes an enrollment period - usually 2-4 weeks. Immediately after receiving admission: book an embassy appointment for the study visa. Waiting times between 4 and 16 weeks depending on the country.

What to do immediately after approval

  • Note the enrollment deadline – Pay the semester fee and submit documents
  • Book an embassy appointment – as early as possible, allowing for waiting times
  • Open a blocked account – if not already done (934 €/month)
  • Clarify health insurance – necessary for the visa and enrollment
  • Looking for accommodation – Write to the student union and check private options at the same time

Received rejection

Rejection does not mean the end. Reasons for rejection are: Grades below the admission average, missing or incorrect documents, or exceeding the deadline. After a rejection: Clarify the cause, then prepare the next round of applications. The next admission window opens in six to twelve months, depending on the semester.

Enrollment periods are short. If you miss it, you will lose your place at university – even if you have a valid admission. Actively track receipt of approval and note deadlines.
